1. Introduction
These Terms and Conditions govern bookings for and participation in coaching, programmes, camps, trips, events, mentoring and other services provided by Burners Basecamp.
They also govern your use of the Burners Basecamp website at www.burnersbasecamp.com.
Please read these Terms carefully before making a booking. When you make a booking, you confirm that you have read and accepted them.
Where a participant is under 18, the parent or legal guardian making the booking accepts these Terms on the participant’s behalf.
Nothing in these Terms affects your statutory rights as a consumer.
2. Who We Are
Burners Basecamp is a trading name of KayakoJacko Limited.
KayakoJacko Limited provides coaching and development experiences for young people, adult paddlers, performance athletes, coaches and organisations in the UK and internationally.

In these Terms, “Burners Basecamp”, “we”, “us” and “our” refer to KayakoJacko Limited.
“Customer” means the person making the booking or purchasing the service.
“Participant” means the person taking part in the relevant coaching, programme, camp, trip, event or other activity.
3. Our Services
Our services may include:
-
individual and group coaching;
-
regular coaching sessions;
-
performance coaching and reviews;
-
development programmes and rosters;
-
mentoring;
-
coach-development activities;
-
camps and residential experiences;
-
UK and international trips;
-
events and signature experiences; and
-
bespoke work with clubs, organisations, teams and partners.
The particular service, dates, location, price and inclusions will be described on the relevant webpage, event listing, programme guide, proposal, invoice or booking confirmation.
Additional information provided for a particular service forms part of the agreement between us and the customer.
4. Eligibility and Suitability
Participants must satisfy any age, experience, capability, fitness or other eligibility requirements stated for the relevant service.
Participants and customers must provide complete and accurate information when making a booking. This includes relevant information about:
-
age;
-
paddling experience and capability;
-
health and medical conditions;
-
medication;
-
accessibility or additional support needs;
-
emergency contacts; and
-
any factor that could affect safe participation.
Providing inaccurate or incomplete information may affect whether we can safely deliver the service.
We may discuss suitability with the participant or their parent or guardian before accepting a booking.
We may decline a booking where we reasonably believe:
-
the service is not suitable for the participant;
-
we cannot safely or appropriately meet the participant’s needs;
-
the eligibility requirements have not been met;
-
required information has not been provided; or
-
accepting the booking would create an unreasonable safety, safeguarding or operational risk.
We will not unlawfully discriminate when considering bookings.
5. Participants Under 18
A participant under 18 must have the permission of a parent or legal guardian.
The parent or guardian making the booking must:
-
provide accurate information;
-
complete any required consent and medical forms;
-
ensure that we are informed of relevant changes;
-
provide current emergency contact details;
-
make any required payments; and
-
ensure that the participant understands the relevant expectations and rules.
Specific supervision, collection, travel and communication arrangements may be provided for individual programmes, camps or trips.
6. How a Booking Is Made
A booking may be requested through:
-
the Burners Basecamp website;
-
a Wix event or registration form;
-
email;
-
telephone;
-
an application or consultation process; or
-
direct agreement with Burners Basecamp.
Submitting a form or requesting a place does not necessarily confirm a booking.
Unless we state otherwise, a booking becomes confirmed when:
-
we accept the booking;
-
the required information and consent forms have been received; and
-
the required deposit or payment has been received.
We will normally confirm the booking by email or another agreed form of written communication.
Customers should check the confirmation carefully and tell us promptly if anything is incorrect.
7. Prices and Payments
Prices are shown in pounds sterling unless stated otherwise.
The price and payment schedule applicable to a service will be confirmed before the booking is completed.
Most payments are made by bank transfer. Customers must use the requested payment reference so that we can identify the payment.
Unless otherwise agreed:
-
payment must be made by the stated deadline;
-
full payment must be received before participation begins; and
-
a place is not guaranteed until the required payment has been received.
Some services may offer deposits, instalments or payment plans. The relevant dates and amounts will be confirmed separately.
Customers remain responsible for completing all agreed payments unless the booking is cancelled in accordance with these Terms.
We may suspend or cancel a booking if payment is not received by the agreed deadline. We will normally contact the customer before doing so.
Prices may change before a booking is confirmed. Once a booking has been confirmed, we will not increase the agreed price unless:
-
the customer requests a change;
-
the booking information clearly allows for a variable cost; or
-
a change is permitted by applicable law.
Book clearly
Read the terms and provide complete and accurate information.
Prepare properly
Arrive ready with the required equipment, documents and insurance.
Participate responsibly
Follow instructions and consider your own safety and the safety of others.
8. Cancellation by a Customer
Cancellation requests must be made in writing by emailing info@burnersbasecamp.com.
The cancellation date is the date on which we receive the written request.
Unless different terms were clearly provided before booking, the following cancellation policy applies to dated sessions, camps, trips, events and experiences.
More than 60 days before the start date
Full refund
The customer will receive a full refund of payments made to Burners Basecamp for the cancelled place.
Between 31 and 60 days before the start date
50% refund
The customer will receive a refund of 50% of payments made to Burners Basecamp for the cancelled place.
30 days or fewer before the start date
No refund unless the place is refilled
Payments are normally non-refundable unless we are able to refill the cancelled place.
If the place is refilled
Refund less a deduction of up to 15%
If we refill the place, we will refund the payments received, less a deduction of up to 15% of the booking price to cover reasonable administration and any costs or losses that cannot be recovered.
The deduction will not exceed our reasonable loss resulting from the cancellation.
Failure to attend
No refund will normally be provided where a participant:
-
does not attend;
-
arrives too late to participate;
-
leaves an activity early;
-
chooses not to take part; or
-
is unable to participate because required information, permission, equipment, documents or insurance have not been provided.
This does not affect any rights the customer may have where Burners Basecamp has breached its obligations.
12. Bespoke and Organisational Work
Bespoke coaching, consultancy and development work may be governed by a separate proposal or written agreement.
That agreement may specify:
-
objectives and scope;
-
delivery dates;
-
fees and expenses;
-
payment stages;
-
cancellation arrangements;
-
intellectual-property rights;
-
confidentiality; and
-
responsibilities of each party.
Where separate written terms conflict with these general Terms, the specific written agreement will take priority for that piece of work.
14. Weather, Water and Venue Conditions
Kayaking and outdoor activities depend on weather, water, access and environmental conditions.
The advertised venue, feature, timetable or activity may need to change at short notice.
A change will not automatically entitle the customer to a refund where:
-
the service can still be delivered safely;
-
the main purpose of the service remains substantially available; and
-
the replacement arrangements are reasonable.
Safety decisions are made by Burners Basecamp coaches or activity leaders using their professional judgement and the available information.
Participants must not enter the water or continue an activity against the instruction of a coach or activity leader.
15. International Trips and Residential Experiences
The booking information for each international trip or residential experience will explain what Burners Basecamp is providing.
Depending on the trip, this may include:
-
coaching;
-
accommodation;
-
local transport;
-
venue or water access;
-
selected meals;
-
supervision; and
-
programme activities.
Some trips may not include all of these elements.
Unless expressly stated as included, participants are responsible for arranging and paying for:
-
travel to and from the destination;
-
flights;
-
passports and visas;
-
personal equipment;
-
travel insurance;
-
meals and personal spending; and
-
other personal travel costs.
Customers should not make non-refundable travel arrangements until the booking has been confirmed and we have advised that they may proceed.
Where applicable law, including package-travel legislation, provides the customer with additional rights, those rights will apply and will not be restricted by these Terms.
17. Insurance
Burners Basecamp holds appropriate public-liability insurance for its activities.
UK activities
Personal-accident insurance appropriate to kayaking and outdoor activities is recommended.
International trips
Participants must hold suitable travel insurance that:
-
covers the full duration of the trip;
-
covers the relevant kayaking and outdoor activities;
-
includes appropriate medical and repatriation cover;
-
includes cancellation and curtailment cover; and
-
covers any equipment they wish to insure.
Participants are responsible for checking the limitations, exclusions, activity grades and competition restrictions within their policy.
We may request evidence of suitable insurance before an international trip. A participant who does not obtain the required cover may be unable to attend and the normal customer-cancellation terms will apply.
9. Illness, Injury and Exceptional Personal Circumstances
The normal cancellation terms apply where a participant cancels because of illness, injury or personal circumstances.
We understand that unexpected situations occur and may consider alternative arrangements at our discretion, including:
-
transferring the booking;
-
providing credit towards another activity; or
-
refunding an amount where the place is successfully refilled.
Any discretionary arrangement will depend on the circumstances and does not create an obligation to offer the same arrangement in another case.
Participants are encouraged to obtain suitable insurance that covers cancellation due to illness, injury or other relevant circumstances.
10. Transferring a Booking
A customer may ask to transfer a booking to another suitable participant.
Transfers require our prior written approval and may be refused where:
-
the replacement participant does not meet the eligibility requirements;
-
the request is made too close to the activity;
-
travel or accommodation arrangements cannot be changed;
-
partners or suppliers do not permit the change; or
-
the transfer would create additional safety, safeguarding or administrative difficulties.
The customer is responsible for any reasonable additional costs caused by an approved transfer.
11. Rosters, Mentoring and Continuing Services
Rosters, mentoring arrangements and other continuing services may involve recurring monthly payments or an agreed programme of payments.
Unless different terms are agreed in writing:
-
the customer must provide at least 60 days’ written notice to end the service;
-
notice must be sent to info@burnersbasecamp.com;
-
payments remain due during the 60-day notice period; and
-
coaching and support will continue during that period, subject to the programme arrangements.
A customer may ask to pause a service, but any pause requires our written agreement.
We may end or suspend a continuing service where:
-
payments remain overdue;
-
the participant repeatedly fails to engage with the agreed process;
-
behaviour affects the welfare or experience of others;
-
the working relationship has broken down;
-
the service is no longer appropriate; or
-
circumstances make continued delivery impractical.
Where we end a continuing service, we will provide reasonable notice where practicable and refund any payment relating to services that will not be provided.
Any statutory cancellation rights that apply to a distance or online contract remain unaffected.
13. Cancellation or Changes by Burners Basecamp
We may need to change, postpone or cancel an activity because of circumstances including:
-
unsafe water or weather conditions;
-
changes in river levels;
-
venue closure or loss of access;
-
coach illness or unavailability;
-
transport disruption;
-
insufficient participant numbers;
-
equipment failure;
-
public-health restrictions;
-
government or governing-body instructions; or
-
circumstances outside our reasonable control.
Where reasonably possible, we may:
-
change the venue;
-
change the timetable;
-
change the activity or programme;
-
provide a suitable replacement coach;
-
postpone the service; or
-
offer an alternative date.
We will communicate significant changes as soon as reasonably practicable.
If we cancel a service and do not provide a reasonable alternative, customers will normally be offered:
-
a full refund of the amount paid to Burners Basecamp for the cancelled service; or
-
credit towards a future service.
The customer may choose between the available refund and credit options.
We are not responsible for separate travel, accommodation or other arrangements booked independently by the customer, except where the loss was caused by our breach of contract or negligence and is recoverable under applicable law.
Customers are strongly encouraged to use flexible arrangements and appropriate travel insurance.
16. Passports, Visas and Travel Documents
Participants are responsible for ensuring that they hold:
-
a valid passport;
-
any required visa or entry permission;
-
appropriate insurance;
-
any required health or vaccination documentation; and
-
all other documents needed for the relevant journey or destination.
Customers must check the relevant requirements before travelling.
Burners Basecamp is not responsible where a participant cannot travel because they do not hold the necessary documents, unless this results from incorrect information negligently provided by us.
For participants under 18, parents or guardians must complete any required travel permissions and provide requested documents by the stated deadline.
SAFETY AND PARTICIPATION
Disclose relevant information
Tell us about medical conditions, medication or other information that may affect participation.
Follow instructions
Listen to the coaching team and follow all reasonable safety instructions.
Use appropriate equipment
Bring and use equipment suitable for the activity and conditions.
Respect others
Treat others with respect and help create a positive environment.
18. Health, Medical Information and Medication
Participants must disclose relevant medical conditions, allergies, injuries, medication, accessibility requirements and support needs before participation.
Participants or their parents or guardians must notify us if this information changes.
Medication must be:
-
clearly labelled;
-
within its expiry date;
-
provided with appropriate instructions; and
-
carried or stored as agreed with Burners Basecamp.
Participants remain responsible for managing their medication unless a different arrangement has been expressly agreed.
In an emergency, we may contact emergency services and provide relevant medical or emergency information.
Where a parent or guardian cannot be contacted, they authorise us to take reasonable steps considered necessary to protect the participant’s health and welfare.
20. Participant Equipment and Personal Belongings
The booking information will explain whether specialist equipment is provided or whether participants must bring their own.
Participants are responsible for ensuring that personal equipment is:
-
suitable for the activity;
-
in safe working condition; and
-
used according to the manufacturer’s guidance and coach instructions.
We may prevent the use of equipment that we reasonably consider unsafe or unsuitable.
Participants are responsible for their personal belongings.
We are not responsible for loss of or damage to personal belongings unless it results from our negligence or another legal responsibility that cannot be excluded.
Participants may be responsible for deliberate or careless damage they cause to equipment, accommodation, vehicles or property.
22. Safeguarding
Safeguarding concerns will be handled in accordance with our safeguarding procedures and applicable requirements.
Participants, parents, guardians and coaches should report concerns promptly to Burners Basecamp.
Where necessary, we may share relevant information with:
-
parents or guardians;
-
safeguarding professionals;
-
governing bodies;
-
emergency services;
-
local authorities; or
-
law-enforcement agencies.
A concern may be shared without consent where this is necessary and lawful to protect a child, young person or adult at risk.
24. Intellectual Property
Unless otherwise stated, the content of the Burners Basecamp website and materials created by Burners Basecamp are owned by or licensed to KayakoJacko Limited.
This may include:
-
text;
-
branding and logos;
-
photographs and video;
-
coaching frameworks;
-
programme guides;
-
presentations;
-
worksheets;
-
diagrams;
-
course resources; and
-
educational materials.
Materials supplied to a participant are for their personal development and use unless we agree otherwise in writing.
They must not be copied, published, sold, distributed, adapted, uploaded or used to deliver commercial services without prior written permission.
Participants retain ownership of material they create unless otherwise agreed.
26. Website Use
You must not use our website:
-
for an unlawful or fraudulent purpose;
-
to interfere with its security or operation;
-
to introduce harmful software or material;
-
to attempt unauthorised access;
-
to impersonate another person; or
-
to copy or exploit protected content without permission.
We may suspend access where we reasonably believe the website is being misused.
We do not guarantee that the website will always be available or free from technical errors.
28. Events Outside Our Reasonable Control
We are not responsible for delay or failure caused by circumstances genuinely outside our reasonable control.
These may include:
-
extreme weather;
-
flood or unsafe water conditions;
-
natural disaster;
-
epidemic or pandemic;
-
government restriction;
-
war, terrorism or civil unrest;
-
transport-network disruption;
-
industrial action;
-
venue closure;
-
loss of water access; or
-
failure of an essential third-party service.
We will take reasonable steps to:
-
communicate with affected customers;
-
minimise disruption;
-
provide an appropriate alternative where practicable; and
-
deal fairly with payments for services that cannot be delivered.
This section does not remove any refund or other rights provided by applicable consumer or package-travel law.
30. Personal Information
We use personal information in accordance with our Privacy Notice.
The Privacy Notice explains:

what information we collect;
-
why we use it;
-
who we share it with;
-
how long we retain it; and
-
the rights available to individuals.
32. If Part of These Terms Is Unenforceable
If a court or relevant authority finds that part of these Terms is unlawful or unenforceable, the remaining sections will continue to apply.
Any unlawful or unenforceable provision will be treated as removed or limited only to the extent necessary.
19. Safety and Acceptance of Risk
Kayaking, whitewater activities, outdoor activities and travel involve inherent risks that cannot be removed entirely.
These may include:
-
changing water and weather conditions;
-
immersion and cold;
-
capsize;
-
collision;
-
uneven or slippery ground;
-
moving equipment;
-
physical exertion;
-
remote locations; and
-
actions of other participants or third parties.
We take reasonable steps to assess and manage foreseeable risks and to provide services with reasonable care and skill.
Participants must:
-
follow safety briefings and instructions;
-
act within the boundaries set by coaches;
-
use required safety equipment;
-
inform a coach if they are unwell, injured or concerned;
-
avoid behaviour that places themselves or others at unreasonable risk; and
-
take reasonable responsibility for their own actions.
Acceptance of the inherent risks of an activity does not remove or restrict Burners Basecamp’s legal responsibilities.
21. Behaviour and Code of Conduct
Burners Basecamp aims to create a safe, supportive, respectful and inclusive environment.
Participants must:
-
treat coaches, staff, volunteers and other participants with respect;
-
follow reasonable instructions;
-
comply with safety, safeguarding and venue rules;
-
avoid bullying, harassment, discrimination or threatening behaviour;
-
avoid unsafe, aggressive or seriously disruptive behaviour;
-
respect accommodation, equipment and property; and
-
comply with any rules relating to alcohol, smoking, vaping or prohibited substances.
Where behaviour causes concern, we will normally seek to address it proportionately.
Serious or repeated misconduct may result in:
-
restriction from an activity;
-
contact with a parent or guardian;
-
removal from a session, programme, camp or trip; or
-
termination of the booking.
Where a participant is removed because of serious misconduct, a refund will not normally be provided. The customer may also be responsible for reasonable additional costs caused by the removal, including supervised collection or altered travel arrangements.
Any decision involving a child or young person will take account of their welfare and our safeguarding responsibilities.
23. Photography, Video and Media
We may take photographs or video during activities.
We will seek appropriate consent before using identifiable images or recordings for promotional purposes.
Media consent is separate from participation. Refusing promotional-media consent will not prevent someone from taking part.
Consent may be withdrawn for future use by emailing info@burnersbasecamp.com.
Further information is provided in our Privacy Notice.
25. Third-Party Services and Providers
We may use third-party providers in delivering our services, including:
-
venues;
-
accommodation providers;
-
transport providers;
-
event partners;
-
booking and website platforms;
-
communication services; and
-
specialist coaches or activity providers.
We take reasonable care when selecting providers but do not control independent third-party websites or services.
Any service booked directly by the customer with a third party is normally governed by that provider’s own terms.
Nothing in this section removes any responsibility Burners Basecamp has under applicable law for services forming part of our agreement with the customer.
27. Our Responsibility
We will provide our services with reasonable care and skill.
Nothing in these Terms excludes or limits liability where doing so would be unlawful. This includes liability for:
-
death or personal injury caused by our negligence;
-
fraud or fraudulent misrepresentation; and
-
breach of legal rights that cannot lawfully be excluded.
We are not responsible for loss or damage that:
-
was not reasonably foreseeable when the agreement was made;
-
was not caused by our breach of contract or negligence;
-
resulted from inaccurate or incomplete information supplied by the customer or participant;
-
resulted from a participant failing to follow reasonable instructions; or
-
relates to a separate arrangement made independently with another provider.
For consumer bookings, we are not responsible for business losses, including loss of profit, revenue or business opportunity.
This section does not affect the customer’s statutory rights.
29. Complaints
If you are dissatisfied with a service, please raise the matter as soon as possible so that we have an opportunity to address it.
Complaints should be sent to:

a clear description of the concern; and
-
the outcome you are seeking.
We will acknowledge and consider complaints within a reasonable period.
Nothing in this section affects your right to seek independent advice or exercise your legal rights.
31. Changes to These Terms
We may update these Terms to reflect changes in our services, working practices or legal responsibilities.
The latest version will be published on our website with its effective date.
The Terms applying to a confirmed booking will normally be those in effect when the booking was made, unless:
-
a change is required by law;
-
the customer agrees to the change; or
-
the change does not materially disadvantage the customer.
33. Governing Law
These Terms are governed by the laws of England and Wales.
If you live in another part of the United Kingdom, you may also benefit from any mandatory protections provided by the law of that part of the UK.
Any dispute may be dealt with by the courts of England and Wales or, where applicable consumer law allows, the courts covering the part of the UK in which the customer lives.
